Quarterly meeting Port Macquarie

This meeting was quite enjoyable and ran quite smoothly.

• The motion to allow one vote per 75 club memberships or part thereof up to a maximum of 4 votes was carried. This motion also amended the constitution to reduce affiliation fees, to the national levy plus a small handling fee, for clubs whose membership increases above 300 members. The standard affiliation fee is charged up to 300 members
• National 4WD discount card possibly available by December
• The association’s insurance scheme covers us for $20million public liability. $20 million public liability is required by organisations to enter Parks and Forests. This level of coverage is not always available to individuals or clubs.
• Vehicle safety committee has 18 members now including ACMC representatives that represent 4wders.
• Jeep club Jamboree October long weekend in Rydal. You might want to plan trips away from this area over the weekend as there will be hundreds of Jeeps on the tracks.
• Clubs should be receiving their affiliation renewal notices now (provided their email and postal addresses are correct)
• State Forest access fees are covered in the affiliation fee; Association stickers will be issued as soon as the affiliation fees are paid
• Volunteers are now being sought for our 4WD Adventure Show in October 2012; clubs wishing to exhibit should also register now.

Why the change?
The old website has outlasted its usefulness. It is difficult and expensive to manage and has a lot of incorrect information. This website had thousands of members whose information was incorrect. Rather than try and fix this website a decision was taken early last year to start from a clean website for the long term benefit.

What do you need to do?
If you are an association delegate or a committee member or an interested club member you should register on the new website. If you registered for the old website YOU NEED TO RE-REGISTER FOR THE NEW WEBSITE. This is not an instant process as your club membership has to be validated

If you are the nominated association delegate for your club you should update the club contact details once you have registered.  This provides up to date contact details for the association.

What’s on the website
The association’s forum, documents and minutes, the association’s calendar of events. There is also a link to information from Parks and State Forests

Parks and State Forests News is a link to information about the various parks.

As previously reported we now have to advise State Forests in particular when as a group of 10 or more vehicles we camp or carry out a training exercise in a state forest. We should have been doing this for the last 5 or more years but it hasn’t been enforced until recently. Groups like scouts have been doing so and paying fees. On the associations web site is a simple booking form.

And of course after the trip we must provide a short report on the areas we visited. This is a simple report on the website.
